Bob Morris is responsible for reviewing all applicant records for school bus drivers. In the past, his staff stood in line daily at the DMV to request the new applicant driving records. Once hard copy records were purchased, secretaries sorted them manually, identified potential candidates and determined problem drivers. All records had to be reviewed and stored for one year. Each record was attached to the application, filed and stored to meet the Equal Employment Opportunity Commission (EEOC) requirements.
Bob utilized secretaries and trainers to complete these administrative tasks. The process was not only time consuming, but costly. Administrative resources were used daily throughout the summer and 1-2 times every week during the school year. All records must be reviewed and stored for 1 year. At the end of this time, resources were again allocated to remove and shred the hard copy files. Hired applicants have their records reviewed during the pre-employment screening process and every six months thereafter. Drivers in Denver are required to report any citations or violations to their manager. Bob knew that this was not a reliable process. Drivers with suspended, revoked or outdated licenses were often not caught for months.Bob Morris sees the power of online monitoring and has implemented the FleetWatch service to review his new applicants much more quickly and cost effectively. Monthly monitoring of his drivers means that disqualified drivers are removed from service quickly and remedial action can be taken immediately.
By implementing the FleetWatch service, Bob now receives monthly Citation, Renewal, and Invalid Driver reports. These reports are designed to show and categorize only the drivers with citations or infractions. Bob does not have to review the hundreds of drivers that are citation-free. "Often our bus drivers move and forget to change their address with the DMV. The FleetWatch report gave me ample notice when drivers' licenses needed to be renewed," Bob observes. Bob believes that the ability to quickly monitor and determine qualified drivers will generate significant savings in fewer accidents, will reduce his insurance costs and will significantly reduce the chance of a negligent entrustment claim – the nightmare that every employer and fleet manager fears.
